Privacy policy

Pacific Sports Club (“the club”, “we”, “us”) is a community cricket club on Sydney’s Upper North Shore. This policy explains what personal information we collect through this website (pacificsportsclub.com.au), why we collect it, and how you can control it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), even where a small club is not strictly required to.

What we collect and why

Register-your-interest and sponsor enquiry forms

When you send an enquiry we collect your name, a phone number or email, the role or package you pick, and (optionally) who referred you. We use it only to reply to you about playing for the club or partnering with it. Enquiries are stored in the club’s website admin and emailed to the club inbox. We keep them for the current and following season, then delete them unless you have become a member or partner.

Player of the Match poll

Voting is anonymous. To keep it to one vote per person we set a small cookie and a browser storage entry that remember you have voted in the current poll, and we briefly rate-limit by IP address. We do not record who you voted for against your identity.

Player profiles, results and the honour board

Fixtures, results, ladders, team line-ups and playing statistics are published on PlayHQ and play.cricket.com.au by Cricket Australia and our competitions (NCU and SMCA) as part of registering to play. This website reads that public information and republishes it as player profiles, milestones, season leaders and an honour board. A profile shows your name, team, role, playing statistics and achievements. It may include a photo only if the club adds one.

When a player first appears in the club’s line-ups we may publish a short “welcome to the club” note with their name and team, and the club may welcome new members on its social media the same way.

You can opt out. Email pacificsportsclub01@gmail.com and we will unpublish your profile, remove your photo, or take you off the honour board within seven days. If you have set your name to private on PlayHQ, this site never shows it.

Milestone cards and social media

We create square “share cards” for results, milestones and player of the match, and may post them on the club’s Facebook and Instagram pages or send them to the player concerned. They show name, team and playing statistics only. If a player’s private email is on file, their own milestone card is emailed to them; that email is never published. Tell us if you would prefer not to feature in cards.

Photos and video

Match-day photos and videos taken at club events may be published on this site and on club social media. If you, or your child, appear in one and would like it removed, contact us and we will take it down. We do not publish photos of junior players with full names without a parent or guardian’s consent.

Referral programme

Each player profile has a referral code and link. If a new enquiry arrives with your code, we record that you referred them so the club can apply any fee discount and show a “top recruiters” list (names and counts only). A referral link stores its code in the visitor’s browser for 30 days so the form can be pre-filled.

Website analytics and cookies

Beyond the poll cookie above, this site sets no tracking cookies of its own. If the club enables Google Analytics, it runs with IP anonymisation and we use it only to see which pages are read; you can block it with a browser setting or extension. Our hosting provider and content delivery network (currently GoDaddy and Cloudflare) keep standard server logs, including IP addresses, for security and performance.

Links to other services

The site links to PlayHQ (registration and fixtures), WhatsApp (club group and share buttons), Google Maps (directions), calendar subscriptions, Facebook and Instagram. Those services have their own privacy policies, and what you share there is governed by them, not by us.

Who we share information with

We do not sell or rent personal information. We share it only with: our website host and email provider so the site works; Cricket Australia, PlayHQ, NCU and SMCA as required to register you to play; and club volunteers (the committee) who need it to run the club. Sponsors receive no member data. Some providers store data outside Australia, in which case we rely on their standard privacy commitments.

Security and retention

The website is served over HTTPS, admin access is limited to named committee members with individual logins, and forms include spam protection. Enquiries and referral records are kept for two seasons; player profiles for as long as the player is registered with the club or until they ask us to remove them. If a data breach is likely to cause serious harm we will notify affected people and, where required, the Office of the Australian Information Commissioner.

Your rights

  • Ask what personal information we hold about you and receive a copy.
  • Ask us to correct it.
  • Ask us to delete an enquiry, unpublish a profile, or remove a photo, card or referral record.
  • Complain if you think we have mishandled your information. We will respond within 30 days; if you are not satisfied you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
